Adult Volunteer Position Descriptions:

Squad Leader/ Co-Leader (Registered Adult with AHG)

  • Commits to full-year position and makes an effort to actively participate in troop-wide events that are planned.
  • Completes the AHG Basic Training & AHG Child Protection Training before the first Troop meeting working with the girls.
  • Attends and participates in the annual leader training session, leader meetings before troop meetings & leader events.
  • Reads leader communications and training materials to stay current on information pertinent to leaders.
  • Works with co-leaders to plan and conduct regular Squad meetings the 2nd and 4th Monday’s of each month. Squad Leaders should be punctual and prepared.
  • Practices open communication between co-leaders and parents. Divides adult duties of the Squad among the Leaders based on areas of giftedness – ensuring that there is a Primary Communicator and a Health & Safety Lead for the squad.
  • Works with girls in this Christ-centered ministry by implementing a program based on their interest, not the leader’s plans, while inspiring and encouraging them to achieve the program emphases of American Heritage Girls.
  • Is concerned with the safety and well-being of girls during activities, ensuring proper girl/leader ratios at all times. Maintains familiarity with and adheres to AHG’s Health and Safety guidelines.
  • Follows the established process for planning outside events. Provides necessary paperwork and information for outings or trips to the Vice Coordinator, with at least three weeks’ notice. Enters outside event information in TroopTrack.

Squad Girl Leadership Mentor (Registered Adult with AHG)

  • Full year position.
  • Completes the AHG Basic Training before the first Troop meeting working with the girls.
  • Becomes familiar with the girl leadership roles and Level Award for the squad in which she mentors.
  • Works with squad members throughout the year to encourage girls in working towards their Level Award.
  • Coordinates with squad leaders and girl leaders to schedule girl mentoring sessions during squad meetings.
  • Utilizes the provided templates to conduct girl mentoring sessions at the beginning of a girl leadership assignment, during the year as needed, and conducts an evaluation upon completion of the girl leadership assignment or at the end of the troop year.
  • Meets with girls who are not in a girl leadership role to assist them in identifying how they might use their God-given talents and interests to influence and benefit others.
  • Serves as a backup member of the leader team in the event that a squad leader is unable to attend a troop meeting.
  • Attends leader meetings to stay “in the loop” about Troop leadership news and activities.

Girl Leadership Director (Registered Adult with AHG)

  • Full year position
  • Oversees overall Girl Leadership structure and program
  • Training and support for Squad Mentors
  • Hold Mentors accountable and assure that girls and leaders understand their positions.
  • Guides mentors in becoming familiar with Level Awards and encouraging girls related  to their Level Awards throughout the year.
  • Plan and oversee at least one leadership event per Program Year. (i.e. retreat, camp, one day event, leadership kick-off event)
  • Collect and record all girl leadership forms
  • Serve on the Troop’s Boards of Review.
  • Plan for and report results for mid-year and year-end Girl Surveys
  • Encourage growth in leadership skills for girls and adults through Girl Leadership Positions, Habitudes, Free to B. a Leader Patch Program, and any other leadership initiatives.
  • Be the “go to” person for all Girl Leadership programs and initiatives.

Advancement Chair (Registered Adult with AHG)

  • Full year position
  • Understands and encourages girls to fulfill advancement requirements for each level (i.e. Sacagawea, Lewis and Clark, etc.)
  • Keeps Squad Leaders, Mentors and parents informed of cut-off dates for advancement
  • Maintains adequate Troop Advancement and Award records, keeping back records for seven years
  • Prepares and places insignia/award orders for the Troop to be approved by the Troop Coordinator including badge orders, level awards, service stars, presidential service awards, HUGS, and others as required
  • Creates a badge order from Troop Track in December for January distribution and another in April for distribution at the Court of Awards Ceremony – or provides guidance to a Badge Order Coordinator volunteer.
  • Organizes a team to sort and label badge order by squad and girl once received
  • Coordinates AHG Board of Review (BOR) in March, with the assistance of the Troop Coordinator
  • Helps parents/leaders with Troop Track
  • Researches and applies for other troop/girl awards that may be available such as diocesan awards or service awards
  • Consults with the Troop Shepherd regarding girls who will be earning Religious Awards at the Court Of Awards ceremony

Special Event Coordinator

  • Event-based position.
  • Serves as a point of contact or leader of a special Troop wide event during the program year. Events could include a Kick off Night, Hero Night, Veterans Home Visit, Day of Service, Court of Awards, camping trip, multi-troop event, etc.
  • Assures that in the event planning process the following are completed (via adult and/or girl leaders):
  • Adult safety ratios and all health & safety requirements are met
  • Event budget is established and monitored
  • Reservations are made at appropriate venues as needed
  • The event is announced to the troop (in meeting, flyer, posting on meeting communication board, newsletter, etc)
  • Creates and posts Troop activity permission slip, as needed, on the website or Troop Track
  • Invites girls/families to the Troop Event, and monitors the RSVPs
  • Event patches are designed and ordered as needed for the event
  • Provides updates about troop wide activity to the Newsletter Editor to be posted in the Troop Newsletter
  • Maintains event records for future event planning purposes
  • May consult with other local AHG troops to plan a multi-troop event
